Privacy Policy
Last updated: October 15, 2026
twnhouse.ca ("twnhouse", "we", "us") helps renters and landlords in Ontario find each other. This policy explains what personal information we collect, why, who sees it, and your choices. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
- Account details: name, email, phone number and a password (stored only as a secure hash).
- Tenant profile: employment status, maximum budget, city, home type, bedrooms, move-in date, lease preference, pets, smoking, number of occupants, whether you consent to a credit check, and any notes you add.
- Landlord listing: property address, city, type, bedrooms, bathrooms, rent, availability, lease terms, utilities, pet and smoking rules, description and photos.
- Photo ID (optional, tenants): if you choose to upload it, so we can confirm your identity.
- Usage and security data: IP address, log-in times and basic logs, used to keep accounts secure and prevent abuse.
- Payments (landlords): handled by Stripe. We never see or store your card number.
How we use it
- To create your account and show you matching tenants or rentals.
- To send account emails (confirmation, password reset, connection requests).
- To check uploaded ID and show an "ID verified" badge.
- To keep the service safe, investigate misuse, and meet legal obligations.
We do not sell your personal information. We do not use age, family status, race, religion, sex, disability or any other ground protected by the Ontario Human Rights Code to match people.
Cookies and ad measurement
twnhouse.ca uses Google Analytics, Google Ads and the Meta (Facebook) Pixel to understand how people find the site and to measure our ads, for example to count how many sign-ups an ad brought in. These tools set cookies and receive information such as the pages you visit, your browser and approximate location, and the fact that you signed up or requested a tour. We do not send them your name, email, phone number or profile details. Google and Meta handle this information under their own privacy policies. You can block these cookies in your browser settings or with an ad blocker, and the site will still work.
Who can see your information
- Before you connect: other users see your first name and last initial and your profile details (for example, budget and bedrooms, or rent and house rules). They do not see your email or phone. For landlords, the property address is shown on the public ad, with a map.
- After you accept a connection request: you and that person can see each other's full name, email and phone, and the tenant sees the property address.
- Photo ID: seen only by the twnhouse team to check it. It is stored encrypted and deleted as soon as it has been reviewed. Landlords only see whether an ID was verified.
- Service providers: our web host (in Canada or the U.S.), our email provider, Stripe (payments), Google and Meta (site analytics and ad measurement, see above), OpenStreetMap services (to show the map and nearby places for a listing's address) and Anthropic (to write short match explanations from profile details, without names or contact information). They may only use the information to provide their service to us. Some providers may store data outside Canada, where it may be subject to local laws.
- Legal reasons: if required by law, or to protect the safety of users or the public.
How long we keep it
We keep your account while it is open. If you ask us to close it, we delete your profile, photos and connections within 30 days, except where we must keep records by law (for example, payment records). Uploaded ID images are deleted right after review.
Your choices and rights
- You can update your profile at any time from your dashboard, and pause your profile or listing so it isn't shown.
- You can ask for a copy of your information, ask us to correct it, or ask us to delete your account by emailing privacy@twnhouse.ca.
- You can withdraw consent at any time; some features won't work without the information they need.
Security
We use encrypted connections (HTTPS), hashed passwords, encrypted storage for ID documents, one-time email links for password resets, and limits on repeated log-in attempts. No system is perfectly secure, so please use a unique password and tell us right away if you think your account was misused.
